Administrative Assistant – Scholastic
The Administrative Assistant for the Center Scholastic team is excited to work for an organization whose mission is to support children and their learning. This role is primarily responsible for developing, coordinating, and maintaining staff schedules to ensure licensing compliance, appropriate teacher-child ratios, and smooth daily operations. This role requires advanced organizational skills to coordinate staff shifts, breaks, and coverage, while providing friendly support to staff, parents, and children. The Administrative Assistant for the Scholastic team will also support Center leaders, in particular, the Assistant Directors (Preschool and Infant/Toddler) in achieving daily operating initiatives and long-term scholastic team goals. Starting pay for this position is in the range of $19.47 - $22.11 per hour based on expertise.
Responsibilities:
- Coordinating internal and external meetings and coordinating scholastic team schedules including but not limited to booking conference rooms/calls, hotel, and travel.
- Performing general clerical duties through maintaining and organizing paper and electronic files/records and easily tracking up-to-date documents and audit trails
- Working closely with the Assistant Directors and leadership team on ad-hoc activities (reports and requests), projects, planning and administrative duties including assisting with scholastic staff schedule and material requests
- Coordinating, consolidating, and disseminating information through taking notes, organizing calendars, and managing internal events
- Drafting correspondence, creating reports, and PowerPoint presentations
- Developing appropriate department procedures including fiduciary processes
- Greeting and assisting visitors to the center in the absence of the other Administrative Assistant or Safety Officers
- Replying to general family inquiries through email, telephone, or in-person in support of the Assistant Directors.
- Providing office oversight and other duties as needed
Qualifications:
- High School Diploma or GED required.
- At least 3 years of experience in an Administrative Assistant or similar role required. Experience helping to launch a new office is preferred
- Excellent project management skills, including time management, organizational skills, ability to multi- task, and prioritize assigned tasks
- Ability to lift ~25 lbs., and be flexible with light physical activity such as opening filing cabinets and bending/standing as necessary
- Ability to work in a fast-paced environment with changing priorities
- Ability to proactively identify problems and implement solutions
- Comfortability with technology including MS Office Suite (Outlook, Word, Excel and PowerPoint) and/or willingness to learn
